Overview of Organizations, Workspaces, and Members

Organizations

An organization is an entity that contains workspaces and members, and usually corresponds with your company. It is recommended that you name your organization in a way that directly relates to your business’ name to prevent confusion. Keep in mind that you can add as many members to your organization as you’d like.

Workspaces

Workspaces are created within an organization and can correspond to departments, project teams, or other groupings of individuals within your company. When you create and run workflow templates, you will do so within the context of a workspace. You can add workspace administrators who can have admin functions available on their dashboard. “Generate Task Link”, “Resend Email”, and “ReAssign Link” are three standard admin functions and custom admin functions can be created in addition to the standard ones.

Integrations to Zapier or other 3rd party applications can be made at the workspace level. This security aspect should be taken into consideration when defining workspaces.

You can add an unlimited number of members to workspaces, and members may be part of multiple workspaces. A member must be part of the organization before they can be added to workspaces.

Members

Members are individuals who can log into the OnTask dashboard and perform tasks based on their privileges and group membership. People who participate in your workflows are not required to be members; however, only members will be able to access the dashboard.

An organization owner is typically the member who originally created the organization. Organization owners have the ability to:
